Common meeting cost calculator questions
- The number seems too low: the default calculation uses base pay only. Fully-loaded cost (benefits, payroll tax, overhead) usually runs 25-40% higher - raise the pay rate by that much for a more realistic figure.
- I don't know everyone's exact salary: use a blended average pay rate across the group. It won't be exact, but it's close enough to show the scale of the cost.
- How do I include benefits and overhead: multiply the hourly rate by roughly 1.25-1.4 before entering it, which approximates fully-loaded labor cost rather than base pay alone.
- The yearly total looks huge for a "quick" meeting: that's usually the point. A 30-minute weekly meeting with 8 people at $50/hour costs about $10,400 a year - small meetings add up fast once they're recurring.
- Does this include prep time or follow-up work: no, only the time in the meeting itself. If prep and follow-up take real time too, they're a real added cost this calculator doesn't capture.
- Attendees have very different pay rates: for a mixed group (e.g. a few senior people and several junior ones), a single blended average can understate or overstate the true cost - for precision, calculate each pay band separately and add the totals.

How is the cost calculated?
Cost = attendees × hourly rate × meeting length in hours. If the meeting repeats, that per-meeting cost is multiplied by how many times it happens in a year (52 for weekly, 26 for every two weeks, 12 for monthly) to get the yearly and monthly totals.
What if attendees have different pay rates?
Use a blended average across everyone in the meeting. For a rough estimate that's close enough - if you need precision for a specific group, run the calculator once per pay band and add the results together.

Can I use a currency other than US dollars?
